Job Summary:
Will be responsible for initial introduction of Executive and Physician candidates to the AHN network and act as a liaison between the candidate and AHN. Will support the executive talent acquisition/physician recruitment team in a fast paced environment through the scheduling and coordination of onsite interviews, making travel and lodging arrangements, and setting onsite itineraries. Pursue opportunities to refine and improve the onsite interview process, identify trends/issues and provide resolution to make sure we are bringing in the highest caliber of talent and all candidates are experiencing a consistent and positive candidate experience.
Job Responsibilities:
- Manage talent administrative responsibilities involved with scheduling on-site interviews, coordinating interview schedules, assisting with candidate interview travel, scheduling pre- and post-interview review sessions.
- Forwarding candidate referrals to the appropriate recruiter, applicant tracking, employment correspondence, data entry for background/drug screen administration, contact for requisition initiation and approval process, compiles data for monthly recruitment metrics, system admin for applicant tracking system, OFCCP regulations, and group SharePoint site, assist with job postings.
- Will manage (HRIS) and (ATS) systems for troubleshooting, resolution of issues and applicant tracking, to meet business and government reporting requirements.
- Partner with Physician Recruiters and TA Consultants in the execution of their recruiting activities, including various clerical duties associated with physician recruitment and human resources including, but not limited to: candidate travel expenses, process check requests for candidate travel reimbursement, create relocation estimates for candidate offers, create purchase order requests for new hire relocations, assist in executing pre-boarding for candidates and confirm day one activities.
- Pull weekly requisition reports and distribute to recruiters and local HR for updates. Adhere to sensitive timelines, deadlines, and confidential materials.
- Audit electronic files and physician/executive ATS activity
- Partner with colleagues, or take the initiative to handle various projects independently. Ability to proactively collaborate with others to coordinate schedules.
- Assist with third party staffing vendor management including working with the TA Consultant(s)/Physician Recruiters to ensure all documentation is collected from the vendor per the contract, updating the ATS with vendor information, and vendor reporting as needed.
- Assist with and administer components of TA/physician recruitment compliance including but not limited to; I-9 documentation collection and administration, procedure manual updates and posting requirements.
- May assist with reporting on Talent Acquisition/physician recruitment metrics and preparing other reports as needed in partnership with the TA Consultant(s)/physician recruiters.

Required Experience:
- Bachelor’s degree in business or related field, or equivalent years of experience
- Experience in a professional environment, serving in an administrative capacity.
- Experience in recruiting or HR role
- MS Office proficiency plus experience working with HRIS, applicant tracking systems
- Excellent attention to detail, organization and accuracy skills.
- Proven ability to schedule complex appointments and interviews across multiple time zones and locations.
- Strong customer focus
- Ability to multi-task in a fast-paced environment
- Flexibility to deal with changing schedules and priorities
- Excellent communication skills: oral, written and listening skills.
