Job Summary:

Provides professional, administrative, and secretarial support to the leadership team; provides a wide range of duties, thus relieving the management staff of routine administrative work and business activities; contributes to the efficiency and effectiveness of the department by assisting the management staff in achieving a high level of organization and productivity.

Job Responsibilities:

  • Manages the calendar(s) to ensure effective time management and task completion - including scheduling and preparing for appointments/meetings/conferences and daily reviews of department personal calendars.
  • Directs and prioritizes all business correspondence including telephones, mail, email, invoices and faxes.
  • Takes initiative to prepare / provide supporting materials so that correspondence can be acted on and expedited.
  • Completes special assignments and department initiatives to ensure a level of support needed to achieve successful outcomes.
  • May coordinate budgetary expenses, including but not limited to accounts payable/receivables, purchases, expense reports, travel requisitions, bank deposits, and other requests.
  • Performs other duties as assigned or required.

Qualifications:

  • Minimum 4 years advanced secretarial experience.
  • Associate's degree preferred
  • Works with minimal direction. Has the latitude to convey information to others related to department policies and practices.
  • Refers complex issues or those in need of policy interpretation to professional staff or management.
  • Excellent technical skills, including but not limited to minute taking, word processing, and PC software skills (Microsoft Office Suite preferred).
  • Ability to prioritize and provide for effective time management.
